Landlord and tenant sign a lease digitally
Landlord and tenant sign a lease digitally

Digital leasing tools move every step between "vacant" and "keys handed over" online: listing the unit, taking applications, signing the lease, and collecting the first rent payment. For an independent landlord or a small manager with 20 to 200 doors, the right set of tools means fewer emails, fewer paper files and a shorter gap between a showing and a signed lease. The wrong set means five logins, duplicate data entry and fees you did not see coming.

This guide walks through each stage, what to look for, the legal points to check before you go paperless, and what it costs. We build property management software, so we say where EchoPM fits. We also say where you should verify things yourself.

TL;DR#

  • Digital leasing covers four jobs: listings, applications, lease signing and rent collection. The best setups keep all four in one record so you enter data once.
  • E-signed leases are generally valid under federal law, but a scanned PDF sent by email is not the same thing as a proper e-signature with an audit trail. HUD-assisted and other program housing can have extra rules.
  • Judge tools on total cost: per-unit fees, payment processing fees, applicant fees and eSign add-ons all count.
  • On EchoPM, tenants apply free on EchoPM listings (no EchoPM application fee), leases are signed natively in the app, and you can bring your own PandaDoc or HelloSign if you prefer.
  • Technology should take routine tasks off your plate so you have more time for residents, not replace that contact.

Table of Contents#

What digital leasing tools actually cover#

The phrase gets used loosely. Search it and you will find guides for apartment operators, a few about virtual tours, and some that are about something else entirely (online lead-generation businesses). For a landlord, it means the software that handles the leasing workflow end to end:

  1. Marketing and listings. Publishing a unit with photos, rent, availability and application link.
  2. Applications and screening. Collecting applicant details and documents online, then reviewing them in one place.
  3. Lease creation and signing. Generating the lease from your template and collecting signatures electronically.
  4. Payments and move-in. Setting up rent collection, deposits and the first charges.
  5. Ongoing management. Maintenance requests, renewals, documents and communication with the tenant.

Some landlords use a separate app for each step. That works, but every handoff is a place where a name is retyped, a document is lost or an applicant gives up. A single platform with a shared tenant record removes most of those handoffs.

Listings and applications#

Real-time listings beat static ads

A listing is only useful if it matches what you have available today. Tools that pull from your unit records, rather than a separately maintained ad, reduce the chance of someone applying for a unit that was leased last week. Look for status that updates as soon as a lease moves forward.

Application fees are the first friction point

Renters know the pattern: pay a fee for each application, repeat on the next listing. On EchoPM, tenants apply free on EchoPM listings, with no EchoPM application fee. That lowers the barrier for good applicants and means you are not asking people to pay before you have confirmed a unit is a fit. You can read how the process works on our leasing and applications page.

What to check before you pick a tool

  • Can an applicant finish on a phone in one sitting?
  • Do documents upload inside the application, or by email attachment?
  • Can you see every applicant for a unit side by side?
  • Does an approved applicant flow straight into a lease draft without retyping?
  • Is there any fee charged to the applicant by the platform, and who sets it?

If you manage student housing, roommate matching and group applications matter too. Our student housing program page covers that setup.

E-signature is not a scanned PDF

A common mistake is treating a scanned, signed paper lease sent by email as an electronic signature. A proper e-signature workflow records the signer's intent and consent, locks the document after signing, and produces a time-stamped audit trail. Vendors of eSignature tools describe that gap clearly, and it is worth understanding even if you never use their product: when a tenant disputes a lease, the audit trail is your evidence of who signed what and when.

That is why we built signing into the platform. Leases are signed natively in the EchoPM app, and the signed document is stored with the tenant and unit record. If your attorney or your portfolio already standardizes on PandaDoc or HelloSign, you can bring your own and keep your existing templates.

What federal law allows, and where it stops

Federal and state electronic signature laws, namely ESIGN and UETA, allow digital leases in general. They do not override local or program-specific requirements. HUD guidance for multifamily assisted housing, for example, addresses which documents and forms can be signed, transmitted and stored electronically, and it indicates that some HUD forms can still call for wet-ink signatures. If you run subsidized or program housing, confirm with your housing authority or local counsel before you move those leases online. The same goes for any state or city with specific lease form rules.

Use reviewed lease forms

The software is only as good as the lease inside it. Angel Baltimore of the National Apartment Association has said that digital leasing depends on high-quality, legally reviewed forms, and that landlords should favor platforms that work with standard lease libraries rather than generic templates, since fair housing and rent control rules keep changing by state and city. Have a local attorney or your state's landlord association review your template once, then reuse it.

Check lender-driven lease terms

If your building carries a Fannie Mae or Freddie Mac multifamily loan, your leases may need specific terms. Under the enterprise policy effective February 28, 2025, new GSE-backed loans require at least 30 days' notice of rent increases, 30 days' notice of lease expiration, and a minimum five-day grace period before late fees. Your lender and attorney can tell you whether this applies to your loan and when your leases must comply. Build those terms into your template once, and digital tools apply them consistently on every lease.

Rent collection and the first payment#

A lease is not finished until the first payment clears. Digital rent collection ties the signed lease to the charges: deposit, first month, then recurring rent. One market report estimates that 74% of North American property managers now use at least one digital tool for rent collection, and that these platforms can shorten processing from several business days to under 24 hours. Treat the figures as industry estimates from a market research firm rather than a guarantee for your portfolio.

What matters in practice:

  • Autopay and reminders so late payments become the exception.
  • Clear fee disclosure. Know who pays the processing cost and what it is.
  • Ledger tied to the lease, so a rent increase notice or a grace period change shows up in one place.

On EchoPM, online payment processing is 2.9% plus $0.30 per online payment. The full breakdown is on our pricing page, and the feature details are on the rent collection page.

A simple digital leasing workflow#

Here is how a vacancy runs when the tools are connected:

  1. Publish the unit. Add photos, rent and availability. The listing is live.
  2. Applicants apply online. They submit details and documents in the app, with no EchoPM application fee.
  3. Review and approve. You compare applicants in one list and approve one.
  4. Generate the lease. Your reviewed template fills from the application and unit record.
  5. Sign electronically. Both parties sign in the app, or through PandaDoc or HelloSign if you bring your own.
  6. Set up payments. The tenant adds a payment method, and recurring rent starts on the schedule in the lease.
  7. Manage from there. Maintenance requests, documents and renewals live in the same record.

If you are an independent landlord with a handful of units, the same flow works at small scale. See software for independent landlords for how that looks day to day.

What it costs: the fees to add up#

Digital leasing tools price in a few different ways, and the headline number is rarely the whole bill. When you compare options, list each of these:

Cost typeWhat to ask
Per-unit software feeIs it charged on every unit, or only live ones?
Application feesDoes the applicant pay, and who keeps it?
eSignatureIs signing included, or an add-on per document?
Payment processingWhat is the percentage and the fixed fee per payment?
Tenant portalIs there a charge to the tenant?
TrialHow long, and is a card required?

Here is how EchoPM answers them. Our published per-unit pricing by portfolio size:

Portfolio sizePrice
1–99 units$4.25 per unit per month
100–499 units$3.75 per unit per month
500+ units$3.25 per unit per month

The platform fee applies only to live units, meaning units that are published or have a pending or active lease. There is no tenant portal fee. Online payments carry 2.9% plus $0.30 each. The trial is 30 days, and a card is required to start it. Full details are on our property manager software page.

Our perspective: tools should free you for people#

We get asked whether going digital makes property management impersonal. Our view: it should do the opposite. Most of a leasing week is repetitive. Retyping an application into a lease, chasing a signature, reconciling a payment. None of that builds a relationship with a resident.

Industry voices say the same. Cindy Clare of Bell Partners has argued that technology should automate routine tasks and support onsite staff rather than replace them, because personal relationships still drive long-term resident retention. We agree, and we design for it. If the platform handles the application, the lease and the payment setup, you spend your time on the showing, the walkthrough and the phone call when something goes wrong.

Three principles guide how we build:

  • Do not charge before value. Renters apply free on EchoPM listings, and our fee on your side only applies to units that are live.
  • One record per tenant. The application, lease, payments and maintenance requests should not live in four systems.
  • Leave room for your own process. If you want PandaDoc or HelloSign for signing, you should be able to use them.

The flip side is that no software replaces legal review. Use it to apply your attorney-approved lease consistently, not to write the lease for you.

Try it on your next vacancy#

The simplest way to test any leasing tool is to run one real vacancy through it, from listing to first rent payment. If you manage 20 to 200 doors, EchoPM's property management software lets you do that during a 30-day trial (card required). Start with one unit, publish it, and see how long the application-to-signed-lease path takes compared with your current method. You can also review paperless leasing and documents and leases before you sign up.

Before you go paperless: a checklist#

  • Lease template reviewed by an attorney in your state
  • Required local disclosures included in the template
  • Lender terms checked if you carry GSE-backed financing
  • Program housing rules confirmed (HUD or other subsidy)
  • Applicants consent to electronic records and signatures
  • Signed leases stored where tenants can also retrieve them
  • Payment fees understood and disclosed
  • Data handled securely, since applications contain sensitive personal information

That last point deserves attention. Applications carry Social Security numbers, income and ID. Collecting them through an encrypted application portal, rather than email attachments, is a basic safeguard against identity theft, a point also raised in a University of Florida law journal article on landlords' duty to protect applicant information.

FAQ#

Is an electronically signed lease legally binding?

In general, yes. ESIGN and UETA allow electronic leases, provided the signing process captures consent and intent and the record can be retained. Local rules and program housing, such as HUD-assisted properties, can add requirements, so confirm with local counsel if you are unsure.

Can I just email a scanned lease?

A scanned signed paper lease is a copy of a paper signature, not an electronic signing process. A proper e-sign workflow adds consent capture, a locked document and a time-stamped audit trail. That record is what helps if a lease is ever disputed.

Do tenants pay to apply on EchoPM?

No. Tenants apply free on EchoPM listings, with no EchoPM application fee. There is also no tenant portal fee.

Can I use my own e-signature tool?

Yes. Leases can be signed natively in the EchoPM app, or you can bring your own PandaDoc or HelloSign account if you prefer to keep your existing setup.

How is EchoPM priced?

Per-unit pricing is $4.25 per month for 1–99 units, $3.75 for 100–499 units and $3.25 for 500+ units, charged only on live units. Online payments carry 2.9% plus $0.30 each. The 30-day trial requires a card.
